The Challenge
Zena didn't come to support because her business was falling apart.
Quite the opposite.
She understood early that the business she wanted to build needed infrastructure capable of supporting the way she wanted to work and live.
Zena describes herself as naturally fluid. She wanted the freedom to respond to opportunities, develop ideas and direct her energy towards work that motivated and inspired her - without every operational detail of the business depending on her personally.
For her, structure wasn't about creating rigidity. It was what would make that freedom possible.
That meant thinking intentionally about systems, automation and day-to-day human support, before the business reached the point where everything felt chaotic.
It also meant recognising that her own time and attention were valuable resources.
As a consultant and organisational change professional, Zena's expertise belongs in client relationships, strategic thinking and business development - rather than repeatedly carrying administrative processes that can be structured, automated or supported by someone else.
The objective wasn't to become as busy as possible.
As Zena would later put it:
“The goal isn't to be busy, the goal is to have space to be working on things that motivate you and inspire you.”
She wanted to build that space into the business deliberately.
The Support
Zena began working with Cydelle during the Onit! Communications era, and the relationship ultimately lasted seven and a half years.
From the beginning, the focus went beyond simply transferring a collection of administrative tasks.
Together, we looked at the infrastructure surrounding Zena's work: where technology could remove repetitive activity, where automation could improve consistency, where clearer processes could protect boundaries and where human support could give Zena greater capacity to concentrate on the work she wanted to lead personally.
For Zena, automation wasn't about removing humanity from her business. It was a way of bringing her values to life consistently.
The right systems could create a professional, considered experience for clients while reinforcing how she wanted relationships, communication and boundaries to work.
They also meant the business didn't need Zena to personally facilitate every interaction for clients to experience the standard she wanted to provide. Alongside the technology sat ongoing human support.
As the relationship developed, support became embedded in how Zena operated. Rather than thinking of a VA as someone waiting for tasks, she came to see the relationship as a collaboration between two business owners bringing different expertise to the table.
As Zena later described it:
“I just see us as strategic partners... you're a business owner, I'm a business owner.”
And when Remotely Onit! evolved from Cydelle's solo practice into an agency, the support evolved with it.
After approximately three years working directly with Cydelle, Zena transitioned to working with Louise as her dedicated, Lead PossAbility Ambassador.
The relationship with Remotely Onit! continued for the remainder of those seven and a half years.
The transition was seamless because the infrastructure wasn't dependent on Zena continuing to work with one individual.
The support model itself had become capable of evolving alongside both businesses.
The Transformation
Zena built a business with structure around the freedom she valued.
Systems and automation support the repeatable parts of the client experience. Clear processes create consistency. Human support provides additional capacity. And Zena is able to remain fluid in the areas where her own judgement, creativity and expertise matter most.
Over the course of the relationship, that infrastructure proved its value in ways that went far beyond administrative efficiency.
As Zena's life changed, the business was able to change with it. At one point, she was able to stop working for a period while the company continued to operate with VA support around it.
Rather than requiring Zena to remain constantly available simply because she owned the business, the infrastructure created continuity.
That flexibility became increasingly significant as her life and location evolved, including her eventual move from the UK to the United States.
The support relationship evolved too. What began with Cydelle continued successfully with Louise when Remotely Onit! adopted an agency model, demonstrating that the knowledge, systems and ways of working surrounding Zena's business could support continuity without everything depending on a single relationship.
And perhaps most importantly, structure didn't make Zena less fluid.
It gave her greater freedom to be fluid.
She could focus on relationships, opportunities, ideas and strategic work because the business had something dependable underneath it.
Over seven and a half years, the result wasn't simply a better-organised business.
It was a business designed with greater capacity to accommodate the person running it as her circumstances, priorities and ambitions changed.
The Client Perspective
“She never felt an idea was too big for her to create a structure to support it.
The goal isn't to be busy, the goal is to have space to be working on things that motivate you and inspire you.”
POSSABILITIES BY DESIGN.
LIFE BY CHOICE.
POSSABILITIES BY DESIGN. LIFE BY CHOICE.
What Became PossAble
Seven and a half years after Zena first engaged our support, the relationship didn't end because the partnership had stopped working.
Her business changed.
Zena wrapped up the business Remotely Onit! had been supporting and began a new partnership venture with her husband - one that didn't require the same ongoing day-to-day support. So, after seven and a half years, the retainer came to its natural conclusion.
But the infrastructure didn't suddenly become irrelevant.
Zena was able to adapt the systems and operational foundations she'd already built to work within what came next. That's one of the most important parts of her story.
Good infrastructure shouldn't trap a founder inside one version of their business. It should be capable of evolving when they do.
The systems, processes and ways of working created during those years had supported different seasons of Zena's life, a move across continents, changing priorities, periods away from work and a successful transition between the people providing her support.
Eventually, they supported transition itself.
Zena's relationship with Remotely Onit! has continued in another way too.
She remains one of our fiercest advocates, regularly referring founders into the business and introducing them to the review process that evolved over the years from our original Business Intensive, through AMPLIFY, to today's ALIGN™.
Her client relationship ended.
Her belief in the value of the work didn't.
And perhaps that is the clearest expression of what became possAble:
Zena didn't build infrastructure simply to operate one business more efficiently.
She built a way of working that could move with her.
What could your business make possAble with the right structure underneath it?
Structure isn't there to make every founder work in the same way.
Done intentionally, it does the opposite.
It can create the stability that allows you to be more flexible - giving your business clearer ways of working while creating greater room for your ideas, expertise, relationships and life.
ALIGN™ is our founder-first ecosystem review.
We look beyond individual tools and tasks to understand how your business operates as a whole, how you want to work and live, and what needs to evolve to support what comes next.
Because the business you're building today shouldn't restrict the PossAbilities available to you tomorrow.
